Forward key requests from Outlook

Works with Outlook.com and Microsoft 365. Use “forward as attachment” so the original headers travel with the email.

Outlook on the web (outlook.com, Microsoft 365)

  1. Open Settings → Mail → Rules → Add new rule.
  2. Name it “KeyTriage”. Condition: Message body includes key. Click “Add another condition” for code and curator if the rule editor allows OR-conditions; otherwise create one rule per word.
  3. Action: Forward to → your KeyTriage address. If available, pick Forward as attachment: KeyTriage reads the attached original with its true sender.
  4. Save. Some organisations block automatic forwarding to external addresses; if the rule silently does nothing, ask your Microsoft 365 admin to allow it for this address.

Outlook desktop (Windows)

  1. File → Manage Rules & Alerts → New Rule → Apply rule on messages I receive.
  2. Condition: “with specific words in the body” → add key, code, curator.
  3. Action: forward it to people or public group as an attachment → your KeyTriage address.
  4. Finish. Rules in desktop Outlook only run while Outlook is open; the web rule above runs on the server.

Manual forwards

For a single email, use Forward (or better, Forward as attachment) and send it to your KeyTriage address. The “From / Sent / To / Subject” block Outlook adds is recognised, and the original sender is restored.
